FAQs
Q:
A new teacher has taken over a class. How do I transfer the data from the previous teacher to this new one?
A:
If the class data is stored in a teacher's user profile (ie Active Directory/My Docs redirection setup) then simply do the following:
1) Transfer the My EAZ MAG... folders from the previous teacher's My Documents folder and put them into the new teacher's My Documents folder.
2) Although this should happen automatically as part of the server setup, ensure that the new teacher has full read/write access on these new folders.
3) Once the new teacher has successfully logged onto the EAZ MAG Writer system under their user profile, they will need to ensure that the Teacher and Class boxes in the Settings (2 cogs) window are modified to reflect the new teacher's status. If they have to change the Class box then they will also need to click the 'Update Pupils with Class' button to reflect this change.
If the class data is stored in a shared folder (ie portable folders on a server) then simply do the following:
1) Go into the appropriate portable class folder on the server share and run up the EAZ MAG Writer system for that folder.
2) Ensure that the Teacher and Class boxes in the Settings (2 cogs) window are modified to reflect the new teacher's status. If the Class box has been changed then the 'Update Pupils with Class' button also needs to be clicked to reflect this change.
Q:
Can I enter Fischer Family Trust data into the system?
A:
Yes. You can currently enter FFT B and D data for each child via the Pupils (green jumper) section of the teacher version.
Q:
Can I obtain Average Points Score (APS) info from the teacher version?
A:
Yes. Although there are numerous ways to obtain this kind of information the most popular two methods in the teacher version are via:
1) Reports > Pupil Progress (at the bottom of the window when you generate a report)
2) Reports > MAGs/Visual Maps (at the far right of the document when you generate a national curriculum MAG)
Q:
I can't type my assessment into the Levels (blue book) section of the teacher version. What am I doing wrong?
A:
You can't type into the cells for the subjects. To add a level you need to do the following:
1) Make sure that you have picked the right term/year and clicked the Show Levels button. This will ensure that a list of children appear for the appropriate year.
2) Right mouse click on the appropriate subject cell to be shown a list of available levels. By left mouse clicking on the appropriate level, the system will automatically put it into the chosen cell.
NOTE: entries are automatically saved for you so there is no need to click a save button at any time in this particular window.
Q:
I had a shortcut to the program on my Desktop, but it has disappeared. How do I run up the program?
A:
As well as a shortcut on the Desktop, you can also run the program via Start > Programs > EAZ MAG Writer.
Q:
I have a number of pupils who have left school. How do I remove them from the system?
A:
The preferred option is to go into the Pupils (green jumper) section of the system and change the appropriate pupil's Status to Left School rather than delete them from the system. The 'Delete' feature is really for when you've inadvertantly created the same pupil record twice, etc.
For further assistance, please refer to our class teacher based tutorial that relates to this specific topic.
Q:
I have a shortcut icon on my Desktop that looks like it's the program icon, but it looks like a white square with a blue box at the top rather than the usual EAZ MAG Writer icon. When I double-click on this icon it doesn't run up the program. What has happened?
A:
This usually denotes that the shortcut has been put on your Desktop, but the program hasn't actually been installed on this specific machine. Please ask your ICT administrator to install/reinstall the software on this machine.
Q:
I've been told that we can enter attendance data into the system so that we can show that attendance can affect attainment. If this is true, where do we enter the attendance data?
A:
Yes you can enter attendance percentages on a termly basis into the Teacher version.
To enter this data you need to go to the Levels (blue book) section, bring up the appropriate term/year and then type in your termly attendance figures into the appropriate cells.
This data can currently be analysed via Reports > Pupil History and Reports > MAGs/Visual Maps.
Q:
Is there a quicker way to update my pupils' end of year targets for the new school year?
A:
Yes. Simply use the Auto-Update Pupil Targets feature, which resides in the Settings (2 cogs) section of the system.
For further assistance, please look at the class teacher based tutorials on our site, as it contains a specific tutorial regarding this task.
Q:
My data seems to have disappeared from the teacher version. When I run up the software it goes straight to a blank Settings (2 cogs) window, as if it's the first time I've used it. How can I get my data back?
A:
If using the standard teacher version, this is usually down to the My EAZ MAG... folders being moved out of the root/first window of My Documents.
If these folders are not in this location when the program is started up then the system will create new blank ones.
To resolve:
1) Go into My Documents and rename the current blank My EAZ MAG... folders with a suffix of 'blank'.
2) Locate all of the original My EAZ MAG... folders (usually stored in a sub-folder somewhere as part of a tiday up) and put them back into the root/first window of My Documents.
3) Run up the EAZ MAG Writer teacher version to confirm that everything is back as it should be.
4) If everything is OK, delete all of the 'blank' suffixed My EAZ MAG folders.
Q:
We are having synchronisation problems with data going missing on our server, as it goes back and forth between home and school. Is there an alternative way to run your system?
A:
Although our standard version was designed to use the pre-supplied Active Directory, My Documents Redirection and Offline Synchronisation features of Windows 2000/2003/2008 servers, we also produce a portable version which enables you to run the program and data from within a solitary folder. This portable folder can be stored (with many others) on say a shared place on your server.
Please note that our standard version was developed so that your school server would automatically manage the backing up of your data between school and home and also give you the ability to update your data from any computer in school with very little effort.
Although all of your data can be quickly and easily transferred from the standard version to the portable one, it may be worth discussing your problems with your ICT administrator to see if the synchronisation issues can be resolved rather than abandoning this powerful technology.
Q:
When I first try to run up the program I get a warning message saying that I can't connect. What can I do?
A:
Check one of the following:
1) Is the program already running on another machine? If so, quit the program on the other machine and try again on the machine you are using.
2) If you connect to your class data via a server make sure that you are still connected and sync'd with your server.
